Pre-employment documents which need to be in place before you arrive in Malta

You will be contacted by an official from the Human Resources section with the following requests:

  1. Fill in the application Form C5. This is a form for those who have been offered employment but are still abroad and have not yet arrived in Malta.
  2. Print your Curriculum Vitae and then sign on every page. Then you will need to scan and send a copy by email.
  3. Scan every page of your Passport and print and then sign on each printed page.  Then you will need to scan and send a copy by email.
  4. Scan the Biometrics page of your passport and send a scanned PDF copy via email.
  5. A draft Contract will be provided which you should print, sign, scan and then send back by email.
  6. Your Job description will be sent to you. You will also need to print, sign, scan and send back by email.
  7. You will need to register yourself with the Malta Medical Council.  Upon approval, you will receive a copy of the Provisional Registration. A copy of this document will need to be sent by email.

When all the above documentation is in place the following steps will need to follow:

  1. HR will place an application with Identity Malta to process your Residence permit. This is a ‘single permit’ which incorporates a residence permit and an employment licence. You will then receive a link to vet the application and place a payment. Identity Malta can then start processing your application. (This process might take up to 8 weeks and hence the importance of providing all the above documentation in time when you are asked and respect the deadlines).
  2. After processing, Identity Malta will issue you with an ‘Approval in Principle’ letter. You can use this letter to apply for a visa to enter the Maltese territory if you need one. (You are advised to apply for this from your end immediately as it may take a variable amount of time to process depending on your country of origin. NB that this letter expires sixty days from issue and so the importance of starting this process immediately).
  3. Once all the above are in place, you should be able to travel to Malta. It is advisable that you arrive here at least two weeks in advance of the start of your employment or else by a date recommended by our HR.
  4. Your lodging arrangements in Malta need to be documented to show evidence of residency in Malta. The lodging contract or leasing agreement with your landlord will need to be copied or scanned and sent by email. Furthermore, this leasing agreement needs to be registered by the Landlord with the Housing Authority (HA) (https://rentregistration.mt/) and a confirmation email will be sent to you. Please forward this email to the HR representative who will be handling your application.
  5. On arrival in Malta,please notify HR by email so that an appointment is scheduled at Mater Dei Hospital with our welcoming contact person.  You will be asked to fill in and sign an Arrival Report and you will be issued with a Hospital Identification Badge.
  6. You will also be given an appointment for health screening which you need to attend to be certified fit for work. Any further steps needed to conclude the process with Identity Malta will be done.
  7. You will need to setup an appointment with Identity Malta to finalise your registration with this entity. You will then be issued with your Identity Malta Confirmation of Registration (‘the blue paper’). Please hand in this paper to our HR contact person.
  8. A one-year Private health insurance with a health insurance company based in Malta needs to be done by yourself and documentary evidence of completion sent by email.
  9. You will also need to be registered with our Social Security and issued with a National Insurance number. The process relating to this may be found here: https://socialsecurity.gov.mt/en/information-and-applications-for-benefits-and-services/registration-for-a-social-security-number. Our HR will guide you on how this will be concluded. Once all the above are secured, some further internal documentation need to be concluded:
  10. You will be guided to make contact with the IT department. You will be given GDPR training and be issued with an IT account allowing access to official hospital IT systems including clinical software and an institutional email address.
  11. At this point, all the necessary should be in place for you to start your employment and Foundation induction training.
